Our client, a global industry leader, is seeking a detail-oriented and highly organized Project Administrator/Coordinator to join their team. In this role, you will support our project operations by managing contracts, project budgets, and critical project documentation while collaborating closely with cross-functional teams.NOTE:- Must be willing and able to travel to the USA and Mexico, without restrictions, effective on the start date
RESPONSIBILITIES:- Project Operations Support: Work with the project operations team to administer internal and external purchase orders, manage project budget entries, generate networks/work orders, create shippers, and prepare invoices—contract management of the complete lifecycle
- Database Management: Maintain the project database and SAP ERP system, ensuring accurate records of customer contracts, shipping destinations, key dates, and internal operational information
- Team Collaboration: Participate and lead weekly project meetings to stay informed on progress and changes in scope
- Cash Projection Tracking: Manage a cash projection file for each business unit, tracking all projects and sales orders from forecasted invoice dates to actual invoice dates and payment collection
- Change Management: Collaborate with the estimating and project management teams to accurately track and ensure the fulfillment of customer change requests from proposal to execution
- Document Creation: Prepare internal documents related to project execution, including work orders, shipping documents, and customer billings, based on requests received
- Month-End Close Participation: Support the accounting month-end close process by issuing invoices and reconciling intercompany accounts, including conducting monthly reviews of closed and ongoing projects
- File Management: Ensure all internal documents, such as customer purchase orders, budget, shippers, and invoices, are accurately saved in shared electronic job files for easy access and compliance
REQUIRED SKILLS & QUALIFICATIONS:- Bachelor’s degree in Business Administration, preferably with a focus on accounting or finance, is preferred but not required
- Intermediate proficiency in Microsoft Excel and familiarity with other MS Office applications are required. Proficiency in SAP ERP software is a plus
- The ability to communicate effectively with internal teams, customers, and vendors to clarify contract terms and resolve issues
- Strong organizational and analytical competence with a focus on accuracy and efficiency
- Managing multiple contracts, deadlines, and documents efficiently
- Reviewing contract terms, conditions, and financials to ensure alignment with company goals
- Willingness to adjust to changing circumstances, priorities, and contract details.
- Handling sensitive and confidential information with discretion
